The basics
It fills certificates of insurance. You forward a request email to your agency's intake address and a completed ACORD form comes back to you, ready to check and send under your own name.
Forward the client's email to your intake address. There is nothing to open and nothing to fill in. Anyone on your team can forward from their own inbox, and they do not need an account.
ACORD 25, 24, 27 and 28. It picks the right one from what the request asks for.
About twenty seconds from forwarding the request. Filling one by hand takes five to twenty minutes.
A PDF, a photo or screenshot of the binder or contract, a certificate you issued before, or a policy jacket. Extra detail typed in the body of the email is read too. The more you include, the less comes back needing review.
No. It comes back to you. You review it and send it on. Nothing reaches a certificate holder without a person at your agency deciding to send it.
Accuracy and review
It comes back marked Needs review with the gaps listed. It does not guess at a policy number, a limit or a date that was not in front of it.
Reply in the same email thread and say what to change. A corrected copy comes back with everything else left as it was.
No. Coverage is never interpreted, inferred or altered. It reads what you send it and puts it on the correct form in the correct boxes.
Your agency. The certificate is issued under your producer details and a person at your agency approves every one before it sends.
You catch it in review, because nothing goes out before you look. Reply in the thread with the correction and the reissue is free.
Those boxes are filled from the request and the certificate is flagged for review rather than issued straight through. Endorsement pages found in a policy jacket are pulled out and attached.
Pricing
$199 a month plus $0.75 per certificate. The first week is free and nothing is charged during it.
One completed form returned to you. A request that comes back needing review is not charged until it is completed, and revisions inside a thread are never charged.
No. It is month to month. Cancel any time from the Billing tab in your portal.
New requests stop being processed at the end of the period you have paid for. Every certificate already produced stays in your portal and stays downloadable.
No. The price is per agency. Everyone on your team forwards to the same address at no extra cost.
Setup and fit
No. It is an email address. Nothing is installed, nothing is replaced and no records are migrated.
It does not need to. It reads the request and what you attach to it, so it works alongside whatever you already run without touching it.
A few minutes. You enter the producer details that print on the face of the certificate, and you can forward your first request straight after.
Your agency name and address as they should print, a phone number and email for the producer box, and which email domains your staff send from. Nothing else.
Yes. Anyone at your agency can forward to the intake address from their own inbox. A request forwarded from outside your domains is refused.
The first week is free. Forward real requests during it and cancel before it ends if it is not for you.
Records and security
In your portal at portal.oncertificates.com, searchable by insured, with the original request beside each one.
No. Your data is never used for training.
Data is encrypted in transit. The portal is password protected per agency, and one agency can never see another agency's certificates.
Yes. Ask and it is deleted.
